Description:

Job Purpose: Supervise and coordinate administrative services within a large campus unit. Areas of responsibility can include administrative affairs associated with human resources, purchasing, budgets and financial records and general clerical support within the unit. Responsible for setting employee goals, assessing employee performance, providing feedback, and making pay recommendations.

Major Responsibilities:

  • Develop and implement unit administrative processes and procedures consistent with overall Institute administrative policy.
  • Define and communicate administrative staff duties; monitor performance and provide feedback.
  • Supervise the maintenance of unit financial records.
  • Oversee unit human resources administration to include transaction processing, time reporting and records maintenance.
  • Supervise and coordinate direct administrative support to unit management.
  • Organize and supervise unit records management function.
  • Coordinate unit purchasing activities including preparation of purchasing documents, ordering and maintaining supplies, etc.
  • Schedule and make arrangements for meetings and other events.
  • Perform other related duties as assigned.
Basic Qualifications:
  • Education: Bachelor's degree in Business Administration or related field or equivalent combination of education and experience
  • Work Experience: Six to eight years job related experience.
  • Skills: This position requires supervisory and organization skills, knowledge of general office administrative processes and practices, records management and event planning. Use of office related computer applications is required.

  • Preferred Work Experience: At least 6 years relevant experience to include staff supervision and experience managing in a university setting.?

Additional Information: The position requires a wide range of understanding of the complex nature of academic research center operations, including the ability to set and carry out goals and develop procedures to achieve these goals with limited supervision. The ideal candidate must be able to Define and communicate administrative staff duties; monitor and evaluate performance; set goals and provide feedback.

  • Successfully manage human resource operations; including oversight of faculty reappointment, promotion and tenure process; and other personnel actions such as academic/research faculty hiring, immigration petitions, staff evaluations/development/training (coordination of staff performance/expectations), workflow management, and time reporting and records maintenance.
  • Oversee arrangements for meetings, seminars and conferences and other School events.
  • Serve as department liaison to the College of Sciences - Dean's Office, HR, Global HR, OIE and other campus units.
  • Assist Chair in implementing and disseminating related policies and procedures
  • Serve School committees as directed by the School Chair
  • Coordinate Institute activities such as ethics and Conflict of Interest
Specialized skills preferred:

University experience, particularly in a research environment, is highly desirable

Impact & Influence: This position will interact on a consistent basis with: School leadership, academic and research faculty, staff, students and visitors. This position typically advises faculty and visitors and counsels staff and students. The position will supervise administrative and temporary staff and student assistants assigned to the School.

The School of Biology seeks to fill the open position of Administrative Manager II.

Job Purpose: Supervise and coordinate administrative services within The School of Biology (SoB). Areas of responsibility include administrative affairs associated with human resources, immigration petitions, and coordination and supervision of administrative staff support in the day to day activities and goals of the Chair. This position is responsible for setting employee goals, assessing employee performance and providing feedback, making pay recommendations and compliance reporting.

This position requires successful completion of a background investigation including education and criminal background checks demonstrating your eligibility for employment with the Georgia Institute of Technology as determined by Georgia Tech in its sole discretion.
